Position: Executive Assistant

Location: Lauderdale Beach, FL

Pay: Starting at $70.000 based on experience.

 

Short Job Description

We are looking for a skilled and highly organized Executive Assistant to join our team. This role will be responsible for providing comprehensive support to the CEO and Executive team at Liquivida. The ideal candidate will be resourceful, detail-oriented, and capable of managing a wide range of administrative tasks to ensure the seamless operation of the CEO and Executive team.

What We Are Looking For

  • Excellent organizational and time management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office and other relevant software.
  • Ability to handle multiple tasks simultaneously in a fast-paced environment.
  • High level of professionalism and discretion.
  • Bachelor’s degree preferred.

Qualifications/Skills

  • Proven experience as an Executive Assistant or in a similar role supporting high-level executives.

  • Experience: 5+ years of experience supporting C-suite executives (Healthcare or Wellness industry experience is a major plus).
  • Education: Bachelor’s Degree in Business Administration, Communications, or a related field preferred.
  • Certification: Professional certifications like CAP (Certified Administrative Professional) or PMP (Project Management Professional) are highly desirable.

Responsibilities:

Calendar Management:

  • Efficiently manage and coordinate the CEO’s schedule, including meetings, appointments, and travel arrangements.
  • Prioritize and schedule appointments, ensuring optimal use of the executive’s time.

Communication Hub:

  • Act as the primary point of contact between the President and Founders, and internal/external stakeholders.
  • Manage and respond to emails, calls, and inquiries on behalf of the executive.

Travel Coordination:

  • Arrange and coordinate domestic and international travel, accommodation, and logistics.
  • Ensure travel plans align with the executive’s preferences and business requirements.

Documentation and Reporting:

  • Prepare and edit correspondence, communications, presentations, and other documents as needed.
  • Compile data and generate reports as required by the executive.

Meeting Support:

  • Prepare agendas, take meeting minutes, and distribute relevant documents.
  • Coordinate logistics for both in-person and virtual meetings.

Task Facilitation:

  • Assist in prioritizing tasks and delegate responsibilities to appropriate team members.
  • Follow up on delegated tasks to ensure completion within set timelines.

Confidentiality Management:

  • Handle sensitive information with the utmost discretion and confidentiality.
